This privacy information informs you about the processing of your personal data at The Village PSW GmbH & Co. KG, Nazarethkirchstraße 51, D-13347 Berlin. In accordance with Art. 4 No. 1 DSGVO, your personal data includes all information that relates or can be related to your person, in particular by means of assignment to an identifier such as a name or to a company with which your person can be identified.

Within the scope of the rental application and during the rental relationship with us, we collect and process information about interested parties and tenants.
These stored data include first and last name, address, contact data (telephone, e-mail), tenant number, location of the apartment, limitation of the rental relationship, rent amount as well as any voluntary information that may be provided in the context of a rental application, but which may become necessary at a later date when a rental agreement is concluded.
In addition, we would like you to provide us with a copy of your identity card/passport based on § 20 Abs 2 PAuswG and proof of income for the last 3 months. These documents will of course be treated confidentially and will not be disclosed to third parties. During the co-relationship, further personal data may be stored, in particular bank account data and SEPA mandates.
Purposes of collection and processing
The aforementioned data collection serves exclusively for the initiation of a rental agreement and is used exclusively internally in connection with the necessary clarifications for the conclusion of a rental agreement. The data and documents provided by you will be stored and used in particular to process the rental application, to check your identity and creditworthiness and to carry out the rental agreement. Your contact details will be used exclusively for communication between us, our contractual partners (e.g. tradesmen) and you.
Your data will only be processed for purposes other than those mentioned above if such processing is permitted under Art. 6 Par. 4 DSGVO and is compatible with the original purposes of the contractual relationship. We will inform you about these processing operations before processing your data in this way.
Legal basis for the processing of your personal data
The legal basis for the processing of your personal data is the contractual or contract initiation relationship in accordance with Art. 6 para. 1 lit. b DSGVO. Data is only collected and processed to the extent required by law. Insofar as other data may not be directly required for the execution of the contractual relationship, the processing is based on a legitimate interest of the company in accordance with Art. 6 para. 1 lit. f DSGVO.
In individual cases we can also obtain your consent (Art. 6 para. 1 lit. a; 7 DSGVO) to the processing or transmission of your data. Your consent is voluntary in these cases and can be revoked by you at any time in the future, unless otherwise agreed.
Transmission of your personal information
Your personal data will only be transmitted or disclosed to external parties if this is required by law, to initiate a contract or to fulfill the contract concluded with you, or if The Village PSW GmbH & Co. KG or an external party has a legitimate interest in the above-mentioned sense and the transmission is permitted under data protection regulations.
In order to remedy defects in the rented property, the first and last name of the tenant, the address and, if applicable, telephone number will be forwarded to maintenance companies with whom we have a contractual relationship.

A transfer to third countries does not take place.

You have a right to information about the personal data stored about you, about the purposes of processing, about possible transmissions to other agencies and about the duration of storage.
In order to exercise your right to information, you may also receive extracts or copies. If data is incorrect or no longer necessary for the purposes for which it was collected, you can request that it be corrected, deleted or restricted. If provided for in the processing procedures, you can also inspect your data yourself and correct it if necessary.
If your particular personal situation gives you reasons against processing your personal data, you can object to processing, provided that the processing is based on a legitimate interest. In such a case we will only process your data if there are special compelling interests.

Duration of storage
Your personal data will only be stored as long as the knowledge of the data is necessary for the purposes of the contract initiation and contractual relationship or the purposes for which it was collected, or as long as legal or contractual storage regulations exist.
Different legal retention periods result from tax and commercial law regulations and range up to ten years for tax-relevant documents and records. If there is no tenancy, the data will be completely deleted after 1 year at the latest.
